Yo San University is seeking an Academic Program Assistant
Job Overview
The Academic Team Program Assistant is responsible for supporting the Academic Team in the administration and management of the MAcCHM, DAcCHM, and DAOM programs at Yo San University. This role works closely with the Chief Academic Officer to ensure smooth, effective, and well-coordinated academic operations across all degree programs. While support is provided across programs, the main focus will be the DAOM program.
The Academic Team Program Assistant provides administrative and academic support to students throughout all phases of matriculation, including admissions coordination, orientation, advising preparation, and ongoing academic progress tracking in the DAOM program. Responsibilities include curriculum and residency administration, maintaining faculty and student records, coordinating academic events, managing program documentation, and supporting systems such as Blackbaud or Google Drive.
This position is instrumental in ensuring consistency, organization, and follow-through across academic programs, and serves as a key point of coordination between faculty, students, and staff.
The Academic Team Program Assistant must be available for all designated DAOM residency weekends, as well as support select in-person academic events.
Reporting Structure
The position reports to the Chief Academic Officer
Work Modality
- In person Position 10-15 hours / week
- Additional in-person attendance required for DAOM residency weekends, orientations, and select academic events
Qualifications:
- Minimum of a Bachelor’s degree from an accredited college/university
- At least 1 year experience in academic administration or in a related field that requires strong organizational skills
- Prior admissions and enrollment experience at a college or university is a definite advantage. Acupuncture degree preferred
- Able to assist in physical tasks, moving classroom equipment & educational materials; may including lifting up to 25-30 lbs.

Duties & Responsibilities:
DAOM responsibilities
- Be the main point of contact for DAOM weekends including connecting with faculty for their contracts, hotel accommodations and travel.
- Completing reimbursements for all incoming faculty.
- Maintaining attendance records during DAOM weekend. .
- Assist in administering surveys and gathering feedback related to program content, delivery, student experience, and learning outcomes in the DAOM program.
- Work closely with the DAOM dean to ensure the DAOM schedule is ready, appropriate signage, room assignments and emails are sent to all cohorts
- Ensure email is checked regularly for DAOM program and that between weekends, students are responded to in a timely manner.
Academic & Program Administration
- Monitor, maintain, and update academic calendars for MAcCHM, DAcCHM, and DAOM programs in consultation with the Academic Deans.
- Assist in planning and executing key academic events, including but not limited to:
- New Student Orientation
- DAOM Residency Weekends
- Capstone / Dissertation Conferences
- Support MAcCHM and DAcCHM advising preparation, including tracking academic progress, and preparing advising materials. Assist with preparation of transfer evaluations for incoming students.
- Maintain academic records, student files, faculty files, syllabi, contracts, teaching agreements, and other pertinent academic documentation across all programs but mainly the DAOM program.
Clinical, Research & Compliance Support
- Assist Clinical Dean with tracking clinical training sessions, maintaining required clinical records, assessments, and documentation for DAOM students.
- Maintain student academic portfolios and progress-to-completion tracking for all cohorts and specialties in the DAOM program and DAcCHM program.
Systems & Technology Support
- Support Blackbaud operations, including:
- Assisting with course setup
- Supporting attendance tracking for online classes
International Programs & Outreach
- Serve as lead coordinator for all International Trips, including:
- Collaborating with faculty and staff
- Tracking student interest and eligibility
- Coordinating required documentation and deadlines
- Supporting communication and logistical planning
- Represent the Academic Programs at open houses, campus events, and community outreach activities as needed.

Job Overview: Assistant Academic Dean
The Assistant Academic Dean is responsible for supporting and assisting the Dean of the MAcCHM/DAcCHM programs in the administration and management of all academic programs at Yo San University.
The Assistant Academic Dean provides appropriate administrative and academic support to students in all phases of matriculation, orientation and throughout the student’s course of study at Yo San University. The position includes responsibility for aspects of curriculum administration, preparing and maintaining faculty and student files, course syllabi, faculty contracts/teaching agreements, and other pertinent administrative paper work. The Dean also engages in student academic advising and works closely with the Dean on special projects.

- Assists the Program Dean with creating and maintaining current faculty contracts, teaching agreements and other pertinent files.
- Assists faculty with uploading of materials in online portal.
- Provides interdepartmental collaborative assistance to represent academic programs at open houses, campus fairs, and other community outreach events.
- Maintains students’ academic portfolios and academic progress and completion tracking for each student in all cohorts.
- Assist with tracking prospective students’ progress in the admissions process as directed by the Program Dean.
- Assists Program Dean to conduct surveys to solicit feedback on program content, delivery, student learning experience and other relevant program domains.
- Administration of benchmark exams for MAcCHM/DAcCHM students and preparation as needed prior to the exam date.
- Assist with other program related processes and projects, as directed by the Program Dean.
